REPTWIN ACCEPTABLE USE POLICY

1. OVERVIEW AND PURPOSE

Your use of RepTwin is governed by these rules. This Acceptable Use Policy ("AUP" or "Policy") describes the rules and restrictions that apply to your access to and use of RepTwin, an AI-enabled virtual representative platform operated by Doceree, Inc. ("Doceree," "we," "us," or "our"), including the RepTwin website at reptwin.ai (the "Site"), and all related features, interfaces, and deployment channels, including when accessed through Doceree's demand-side platform and marketing platform (the "DSP/Marketing Platform") (collectively, the "Service").

We assume the best of our users. These rules set a reasonable bar for acceptable use and are no substitute for legal requirements, professional duties, or ethical obligations that should influence how you use AI in healthcare contexts. Doceree holds users accountable for inappropriate use of the Service, and violating or circumventing these rules and safeguards may result in loss of access or other penalties as determined by Doceree in its sole discretion.

Responsible use benefits everyone. This Policy is designed to promote responsible use of the Service, protect the integrity and security of the platform, and help ensure compliance with applicable laws and regulations governing healthcare communications, pharmaceutical promotion, and data privacy.

This Policy is part of a binding agreement. This Policy is incorporated by reference into and forms part of the RepTwin Terms of Use ("Terms of Use"). Capitalized terms not defined in this Policy have the meanings given to them in the Terms of Use. In the event of any conflict between this Policy and the Terms of Use, the Terms of Use shall control.

By using RepTwin, you agree to these rules. By accessing or using the Service, you agree to comply with this Policy. If you do not agree to this Policy, you must not access or use the Service.


2. WHO THIS POLICY APPLIES TO

This Policy applies to all users of the Service, including:

  • Healthcare Professionals (HCPs): Physicians, nurses, pharmacists, and other licensed healthcare providers who interact with RepTwin virtual representatives.
  • Customer Users: Administrators, brand managers, agency personnel, and other personnel of pharmaceutical companies or agencies who create, configure, manage, or deploy AI virtual representatives through
  • Internal Doceree Users: Doceree personnel who access RepTwin for sales enablement, training, platform administration, or operational
  • Site Visitors: Individuals who access or interact with the RepTwin Site.

When we use the terms "you" or "your" in this Policy, we mean any individual in the categories above who accesses or interacts with the Service.


3. CUSTOMER ADMINISTRATOR RESPONSIBILITIES

If you are a Customer User with administrative access to configure or deploy RepTwin, you must comply with the deployment, MLR, content ownership, and compliance obligations set forth in Section 3 of the Terms of Use. Without limiting those obligations, you acknowledge and agree that:

3.1 Content Ownership and Accuracy

You are solely responsible for the accuracy, legality, and regulatory compliance of all content, knowledge bases, prompts, personas, and materials you upload or configure. All content must be brand-approved and have undergone appropriate MLR review prior to deployment. You must not upload content that is false, misleading, outdated, or non-compliant with applicable regulations.

3.2 Deployment Compliance

You must ensure that your deployment and configuration of the Service complies with all applicable laws, regulations, and industry codes. You must implement appropriate access controls and ensure that End Users are presented with appropriate terms, notices, and disclaimers consistent with the Terms of Use and applicable law.

3.3 Integration Responsibilities

If you integrate RepTwin with third-party systems (e.g., Veeva CRM, Salesforce, WhatsApp, voice interfaces), you are responsible for ensuring compliance with applicable laws and third-party platform terms. You must not exploit integration flows to circumvent security controls, access restrictions, or data protection measures.

3.4 Monitoring and Oversight

You are responsible for monitoring your organization's use of the Service for compliance with this Policy and applicable law. You must promptly report any suspected violations or security incidents to Doceree.


4. PERMITTED USE

Subject to your compliance with this Policy and the Terms of Use, you may use the Service for the following purposes:

  • HCPs: Accessing on-demand pharmaceutical product information, engaging with AI-powered virtual representatives for professional education and product inquiries, and obtaining brand-approved content related to pharmaceutical products.
  • Customer Users: Configuring, deploying, and managing AI virtual representatives for your organization's internal business purposes; uploading brand-approved content, knowledge bases, and materials; and accessing engagement analytics and performance
  • All Users: Using the Service in accordance with its intended purpose, applicable laws, and these policies.

5. PROHIBITED USES

You agree NOT to engage in any of the following prohibited activities when using the Service. This list is not exhaustive, and Doceree reserves the right to determine, in its sole discretion, what constitutes a violation of this Policy.

5.1 General Prohibitions

You must not:

  • Use the Service for any illegal, harmful, deceptive, abusive, harassing, or fraudulent purpose.
  • Use the Service in any manner that violates applicable laws, regulations, or industry codes, including healthcare promotion rules, pharmaceutical advertising regulations, and data protection laws.
  • Misrepresent your identity, credentials, or affiliation, or impersonate any person or entity.
  • Use the Service to generate, distribute, or promote content that is unlawful, misleading, discriminatory, defamatory, or violates applicable healthcare promotion rules.
  • Interfere with or disrupt the Service, servers, or networks connected to the Service.
  • Attempt to gain unauthorized access to any portion of the Service, other accounts, computer systems, or networks connected to the Service.

5.2 Harmful Content Prohibitions

You must not use the Service to create, upload, transmit, or distribute:

  • Content that promotes violence, terrorism, or physical harm against any individual or group.
  • Hate speech, harassment, threats, bullying, or content that discriminates based on race, ethnicity, national origin, religion, gender, gender identity, sexual orientation, disability, or other protected characteristics.
  • Sexually explicit content, child sexual abuse material (CSAM), or content that exploits or endangers minors.
  • Content that promotes self-harm, suicide, eating disorders, or dangerous activities.
  • Malware, viruses, spyware, ransomware, or other malicious code or software.
  • Spam, phishing attempts, or deceptive communications designed to obtain personal information or credentials.
  • Content that infringes any third-party intellectual property rights, including copyrights, trademarks, patents, or trade secrets; or content that promotes or facilitates real money gambling or illegal wagering activities.

5.3 Platform Integrity Prohibitions

You must not:

  • Reverse engineer, decompile, disassemble, or attempt to extract source code, weights, model parameters, or underlying components of the Service or AI Features.
  • Use the Service to develop or train a competing product, service, or AI model.
  • Access or use the Service through automated means (including bots, scrapers, spiders, crawlers, or similar technologies) except where expressly authorized by Doceree in writing.
  • Scrape, harvest, extract, or automatically collect data from the Service without Doceree's express written consent.
  • Probe, scan, test, or exploit vulnerabilities of the Service or any Doceree system.
  • Attempt to bypass, circumvent, or disable any security features, access controls, rate limits, or usage restrictions of the Service, including any attempts to manipulate system prompts, override safety guardrails, or circumvent content filters.
  • Attempt to manipulate, override, or circumvent system prompts, safety guardrails, content filters, or other protective mechanisms implemented in the Service.
  • Engage in prompt injection attacks or other techniques designed to cause the AI to behave in unintended ways, bypass restrictions, or reveal confidential information.
  • Introduce malware, harmful code, or any material that could damage, disable, or impair the Service.

6. NO MEDICAL ADVICE AND EMERGENCY DISCLAIMER

6.1 Informational Purposes Only

THE SERVICE IS AN INFORMATIONAL TOOL ONLY. IT DOES NOT PROVIDE MEDICAL ADVICE, DIAGNOSIS, OR TREATMENT RECOMMENDATIONS. OUTPUTS ARE FOR INFORMATIONAL PURPOSES ONLY AND DO NOT CONSTITUTE MEDICAL ADVICE, DIAGNOSIS, OR TREATMENT RECOMMENDATIONS. THE SERVICE IS NOT A SUBSTITUTE FOR PROFESSIONAL MEDICAL JUDGMENT.

AI-generated responses provided through RepTwin are for informational and educational purposes only. They are not a substitute for:

  • Professional medical judgment
  • Clinical training and expertise
  • Peer-reviewed medical literature
  • Official prescribing information and FDA-approved labeling
  • Consultation with qualified healthcare providers

6.2 Healthcare Professional Responsibility

If you are a Healthcare Professional, you must:

  • Independently verify all information obtained through the Service before relying on it.
  • Exercise your own professional judgment in all clinical decisions.
  • Comply with your professional and ethical obligations.
  • Consult official prescribing information, clinical guidelines, and peer-reviewed literature.

6.3 Emergency Disclaimer

DO NOT USE THE SERVICE FOR EMERGENCY MEDICAL COMMUNICATIONS, DIAGNOSIS, OR TREATMENT DECISIONS.

If you are experiencing a medical emergency, call 911 (or your local emergency number) or go to the nearest emergency room immediately. The Service is not designed for emergency use and cannot provide emergency medical assistance.


7. PROTECTED HEALTH INFORMATION (PHI) AND SENSITIVE DATA RULES

7.1 PHI Prohibition

THE SERVICE IS NOT DESIGNED TO COLLECT, STORE, OR PROCESS PROTECTED HEALTH INFORMATION ("PHI") AS DEFINED UNDER THE HEALTH INSURANCE PORTABILITY AND ACCOUNTABILITY ACT OF 1996 ("HIPAA") AND ITS IMPLEMENTING REGULATIONS, AS AMENDED FROM TIME TO TIME, EXCEPT TO THE EXTENT EXPRESSLY AGREED IN WRITING BY DOCEREE UNDER A SEPARATE BUSINESS ASSOCIATE AGREEMENT ("BAA") OR OTHER APPLICABLE AGREEMENT.

You must NOT submit, upload, or share any PHI or patient-identifiable information through the Service unless you have a separate written agreement with Doceree that expressly authorizes such use.

7.2 Examples of Prohibited Information

Do NOT include any of the following in your interactions with the Service:

  • Patient names or initials
  • Medical record numbers (MRNs)
  • Dates of birth, admission dates, discharge dates, or dates of death
  • Social Security numbers or other government-issued identification numbers
  • Home addresses, email addresses, or telephone numbers of patients
  • Photographs, images, or biometric identifiers of patients
  • Health insurance or claims information tied to an identifiable patient
  • Diagnoses, treatment information, or clinical notes tied to an identifiable patient
  • Any other information that could reasonably be used to identify a specific patient

7.3 Sensitive Personal Information

You must not submit sensitive personal information through the Service, including but not limited to:

  • Financial account numbers or payment card information
  • Racial or ethnic origin
  • Religious or philosophical beliefs
  • Genetic data or biometric data (for identification purposes)
  • Information concerning health conditions, diagnoses, or treatments of identifiable individuals
  • Information concerning sex life or sexual orientation

7.4 Biometric Data, Voice/Video Features, and Prohibited Uses

RepTwin does not use voice data for biometric identification or authentication and does not create or store voiceprints for identification purposes.

If audio and/or video features are enabled (including voice-based interaction, audio transcription, or video-enabled interfaces), RepTwin may process audio and/or video content submitted by users solely to enable the relevant feature(s) (e.g., enabling voice-based interaction, transcription, or service troubleshooting), and not to uniquely identify, authenticate, or verify a user through biometric identifiers. For avoidance of doubt, if audio transcription is enabled, transcript outputs may be stored as part of interaction logs and chat history in accordance with the RepTwin Privacy Policy.

Where required under applicable law (including the Illinois Biometric Information Privacy Act (“BIPA”) and other applicable biometric or consumer health data laws, such as the Washington My Health My Data Act (“MHMDA”)), Doceree will implement appropriate notices and, where required, consent mechanisms where Doceree is responsible for presenting such mechanisms under the applicable End-User flow and deployment context. Customers remain responsible for ensuring that their deployments, integrations, and end-user experiences (including any embedding on third-party channels or customer-controlled properties) comply with applicable notice, consent, and privacy requirements.

Prohibited Biometric and Sensitive Data Uses

These restrictions apply to how you configure, deploy, or use RepTwin, including in connection with any integrated analytics, marketing, or advertising workflows. You must not use RepTwin to:

  • create, collect, upload, contribute to, or maintain biometric identifiers or biometric information (including any voiceprints, facial templates, or similar biometric profiles) for the purpose of identifying or authenticating any individual;
  • attempt to extract, infer, derive, or correlate any biometric identifier, biometric profile (including any voiceprint or facial template), or unique personal identifier from audio/video interactions;
  • conduct real-time remote biometric identification of individuals in public or clinical spaces;
  • perform or enable surveillance, monitoring, or tracking of individuals for identification purposes;
  • evaluate, classify, or profile individuals based on biometric data or inferred traits (including inferred health characteristics) in a manner that is unlawful, discriminatory, deceptive, or otherwise inconsistent with professional and ethical obligations; or
  • create, infer, or exploit consumer health data (as defined under the Washington My Health My Data Act) for purposes of behavioural advertising, targeting individuals based on health conditions, or otherwise identifying individuals seeking or receiving healthcare services, except where expressly permitted by applicable law and by Doceree in writing.

No Circumvention of Consent Controls

You must not attempt to bypass, disable, or circumvent any privacy controls, consent screens, disclosures, safety mechanisms, or feature restrictions implemented in RepTwin, including any controls designed to limit processing of audio/video inputs.

Geofencing Prohibition (Sensitive Healthcare Locations)

You must not use the Service to engage in geofencing or location-based targeting that identifies, tracks, collects, or infers information about individuals at or near healthcare facilities, pharmacies, mental health providers, substance use disorder treatment facilities, or other healthcare-related locations for the purpose of collecting consumer health data, delivering health-related advertising, or identifying individuals seeking healthcare services.

Doceree reserves the right, in its sole discretion, to disable or restrict audio/video features (or any other functionality) for any user, deployment, or jurisdiction where Doceree reasonably believes such restriction is necessary to comply with applicable law, reduce legal risk, or protect the integrity and security of the Service.

7.5 Consequences of PHI Submission

If you submit PHI or patient-identifiable information in violation of this Policy, Doceree may, without notice and without liability to the maximum extent permitted by law:

  • Delete, mask, or quarantine such information in accordance with internal data handling procedures.
  • Suspend or terminate your access to the Service.
  • Report the incident to the applicable Customer or regulatory authorities as required by law.

7.6 Reservation of Rights Regarding Future Capabilities

RepTwin is not currently patient-facing and is designed to avoid PHI collection and processing. Doceree reserves the right, in its sole discretion, to modify the Service in the future, including potentially introducing patient-facing functionality or expanded workflows. Any such modifications would be offered solely at Doceree's discretion and would require separate contractual arrangements, supplemental policies, and compliance with applicable regulatory requirements. Nothing in this Policy creates any obligation or commitment by Doceree to enable patient access or patient-facing capabilities.

If Doceree determines, in its sole discretion, to introduce PHI processing capabilities in connection with any future patient-facing functionality, such capabilities would be:

  • Governed by a separate addendum, supplemental policy, or standalone acceptable use terms, as determined by Doceree;
  • Subject to separate contractual arrangements, which may include Business Associate Agreements or similar agreements, where required by applicable law and where Doceree elects to offer such arrangements;
  • Made available only to pharmaceutical partners who have executed the required separate agreements and satisfied any additional technical, operational, or compliance requirements established by Doceree; and
  • Subject to additional restrictions, controls, and use limitations as determined by Doceree in its discretion.

This section is a reservation of rights only and does not create any current PHI processing capabilities, expand Doceree's current obligations under this Policy, or establish any commitment by Doceree to develop or offer patient-facing functionality or PHI processing capabilities. Doceree reserves the right to determine whether, when, and under what terms any such capabilities may be made available. Pharmaceutical partners and users have no right to demand, expect, or rely upon the availability of any future patient-facing or PHI processing capabilities, and Doceree shall have no liability for any decision not to offer such capabilities.


8. OFF-LABEL PROMOTION AND REGULATORY COMPLIANCE

8.1 Prohibition on Unlawful Promotion

You must not use the Service to:

  • Engage in off-label promotion or marketing of pharmaceutical products.
  • Make false, misleading, unsubstantiated, or deceptive claims about pharmaceutical products.
  • Distribute promotional content that has not been reviewed and approved through appropriate Medical, Legal, and Regulatory ("MLR") processes.
  • Violate FDA regulations, FTC guidelines, PhRMA Code, or other applicable laws and industry codes governing pharmaceutical promotion and advertising.

8.2 Customer Responsibility for Compliance

If you are a Customer User, you acknowledge and agree that:

  • You are solely responsible for ensuring that all content, knowledge bases, configurations, prompts, and materials you upload or deploy through the Service comply with applicable laws, regulations, and industry codes.
  • All content intended for use with the Service must be reviewed and approved by your MLR team (or equivalent) prior to deployment.
  • Doceree does not provide MLR approval services and does not assume responsibility for your compliance obligations.
  • You must not deploy or configure the Service in any manner that would result in off-label promotion, patient-specific guidance, or non-compliant promotional claims.

9. ADVERSE EVENTS, PRODUCT COMPLAINTS, AND SAFETY ESCALATIONS

9.1 Detection and Identification

RepTwin may be used in contexts where users submit information that could indicate potential adverse events, side effects, product quality complaints, medication errors, or other safety-related information ("Safety Information"). This section describes Doceree's role in facilitating the identification and escalation of such information to pharmaceutical partners.

RepTwin implements automated monitoring capabilities designed to identify potential Safety Information within user interactions. These capabilities may include keyword and phrase detection, AI/NLP-based classification of chat content, pattern recognition algorithms, and other detection mechanisms as configured by Doceree or pharmaceutical partners.

Detection mechanisms are designed to support, but do not guarantee, identification of Safety Information. Doceree does not warrant that all Safety Information will be detected, flagged, or escalated. Pharmaceutical partners may configure detection sensitivity, keywords, phrases, and other parameters based on their specific products, therapeutic areas, and compliance requirements.

9.2 Escalation Workflows

Where potential Safety Information is identified, Doceree may implement escalation workflows designed to facilitate transmission to appropriate pharmaceutical partner personnel. These workflows may include:

  • Automated email alerts transmitted to designated pharmaceutical partner contacts, including pharmacovigilance teams, medical affairs personnel, safety officers, or other specified recipients as configured in applicable agreements;
  • Integration with pharmaceutical partner safety databases and case management systems where such integration has been established and configured pursuant to applicable technical and contractual arrangements;
  • Flagging and queuing of potential Safety Information for pharmaceutical partner review through dashboard interfaces, reporting tools, or other access mechanisms provided through the Service.
  • Specific escalation workflows, timing, and integration pathways are configured pursuant to agreements with pharmaceutical partners.

9.3 Doceree's Role and Limitations

Doceree is not a pharmaceutical manufacturer, marketing authorization holder, licensed distributor, or entity subject to pharmacovigilance obligations under FDA, EMA, or other regulatory frameworks. Doceree does not assume pharmaceutical partners' regulatory pharmacovigilance responsibilities, reporting obligations, or compliance duties.

Doceree's role is strictly limited to: (a) implementing detection and escalation workflows as configured pursuant to applicable agreements, (b) facilitating transmission of potential Safety Information to designated pharmaceutical partner contacts through established channels, and (c) retaining records as necessary to support compliance, auditability, and operational requirements. Doceree does not independently assess, evaluate, or make determinations regarding the validity, severity, causality, or reportability of potential adverse events. Pharmaceutical partners remain solely responsible for all pharmacovigilance obligations, including adverse event assessment, causality determination, regulatory reporting, and case follow-up.

9.4 User Reporting Obligations

Users who become aware of adverse events, product complaints, or safety concerns related to pharmaceutical products discussed through RepTwin should report such information directly to the relevant pharmaceutical manufacturer and/or applicable regulatory authority in accordance with applicable laws, regulations, and professional standards.

Users with professional reporting obligations, including healthcare professionals subject to regulatory or professional society requirements, must comply with all applicable adverse event reporting laws, regulations, and professional standards independent of any RepTwin escalation workflows.

RepTwin's automated escalation workflows are designed to supplement, not substitute for, users' independent reporting obligations. Users remain responsible for fulfilling their own legal and professional reporting requirements regardless of RepTwin's detection or escalation capabilities.

9.5 Prohibited Conduct

Users must not use RepTwin to:

  • Conceal, suppress, or fail to report adverse events that you are legally or professionally obligated to report.
  • Submit false, misleading, inaccurate, or fraudulent adverse event reports, safety information, or product complaints;
  • Interfere with, circumvent, disable, or attempt to defeat adverse event detection or escalation workflows implemented through RepTwin;
  • Misuse safety reporting features, escalation mechanisms, or detection capabilities for purposes unrelated to legitimate safety reporting or pharmacovigilance activities.
  • Violations of these prohibitions may result in suspension or termination of access to RepTwin and may expose users to legal liability under applicable laws and regulations.

9.6 Retention of Safety Information

Safety Information and related records, including chat transcripts, escalation logs, email communications, and associated metadata, are retained indefinitely, or for such period as required by applicable law, regulatory guidance, or contractual obligations, whichever is longer. Such information is stored separately from standard interaction logs and is accessible only to authorised personnel subject to role-based access controls.

Such Safety Information and records may not be subject to deletion requests, access limitations, or other privacy rights where retention is required or permitted for: (a) compliance with legal, regulatory, or contractual obligations, (b) audit, accountability, and record-keeping purposes, (c) support of pharmaceutical partner pharmacovigilance and regulatory reporting obligations, (d) establishment, exercise, or defense of legal claims, (e) completion of ongoing safety escalation processes, or (f) other legitimate business purposes as determined by Doceree.

    1. Disclaimers and Limitations

Doceree provides Safety Information detection and escalation workflows on an "as configured" and "as available" basis without warranties regarding detection accuracy, escalation timing, or compliance outcomes. Pharmaceutical partners are solely responsible for configuring appropriate workflows to meet their regulatory requirements. Nothing in this section creates or transfers any pharmacovigilance obligation or regulatory reporting responsibility from pharmaceutical partners to Doceree.


10. AI AND CONTENT SAFETY RULES

10.1 AI Limitations

RepTwin utilizes artificial intelligence models, which may include third-party providers such as OpenAI and Anthropic. You acknowledge, accept, and agree that:

  • AI-generated responses may contain errors, omissions, inaccuracies, outdated information, or offensive content ("hallucinations").
  • AI outputs may not be unique, and other users may receive similar or identical responses.
  • AI systems may reflect biases present in training data or underlying models. You are solely responsible for evaluating Outputs for potential bias and ensuring your use of Outputs does not result in discriminatory or unfair outcomes.
  • The quality and accuracy of responses depends on the content and knowledge bases provided by pharmaceutical customers and the inherent limitations of the underlying AI models.

10.2 Verification Requirement

YOU MUST INDEPENDENTLY VERIFY ALL AI-GENERATED OUTPUTS BEFORE RELYING ON THEM. YOU ACCEPT AND AGREE THAT ANY USE OF OUTPUTS FROM THE SERVICE IS AT YOUR SOLE RISK AND YOU WILL NOT RELY ON OUTPUTS AS A SOLE SOURCE OF TRUTH OR FACTUAL INFORMATION, OR AS A SUBSTITUTE FOR PROFESSIONAL OR MEDICAL ADVICE. TO THE MAXIMUM EXTENT PERMITTED BY LAW, DOCEREE SHALL NOT BE LIABLE FOR ANY HARM, LOSS, OR DAMAGES RESULTING FROM YOUR RELIANCE ON OUTPUTS OR FROM ANY ERRORS OR INACCURACIES IN OUTPUTS.

You accept and agree that:

  • Any use of outputs from the Service is at your sole risk.
  • You will not rely on outputs as a sole source of truth or factual information.
  • You will not rely on outputs as a substitute for professional or medical advice.

10.3 Prohibited AI Manipulation

You must not:

  • Attempt to cause the AI to generate harmful, illegal, misleading, or inappropriate content.
  • Use prompt injection, jailbreaking, or other techniques to bypass safety guardrails or content restrictions.
  • Attempt to extract confidential information, system prompts, or proprietary data from the AI.
  • Use the Service to generate content that violates this Policy or applicable law.

10.4 Automated Decision-Making and Profiling

RepTwin does not make decisions based solely on automated processing, including profiling, that produce legal effects concerning you or similarly significantly affect you. While RepTwin uses AI to generate responses and provide information, these Outputs are informational only and do not constitute automated decisions with legal or similarly significant effects.

You must not use the Service or Outputs to:

  • Make solely automated decisions that produce legal or similarly significant effects on individuals without meaningful human review and intervention;
  • Engage in profiling that results in unfair or discriminatory outcomes, denial of services, or other detrimental effects on individuals;
  • Circumvent individuals' rights to opt out of automated decision-making or profiling under applicable state privacy laws.

You acknowledge that you are solely responsible for ensuring that your use of Outputs complies with all applicable laws regarding automated decision-making, profiling, and algorithmic accountability, including but not limited to the Colorado Privacy Act, Connecticut Data Privacy Act, and Virginia Consumer Data Protection Act. Doceree makes no representations regarding the suitability of Outputs for use in automated decision-making systems and disclaims all liability for decisions made using Outputs.


11. DEPLOYMENTS AND EXTERNAL INTEGRATIONS

11.1 Integration Channels

The Service may be deployed across various channels, including:

  • The RepTwin Site (reptwin.ai)
  • Doceree's DSP/Marketing Platform
  • Embedded widgets on pharmaceutical brand websites
  • CRM integrations (e.g., Veeva, Salesforce)
  • Messaging platforms (e.g., WhatsApp)
  • Voice and video interfaces
  • Other third-party platforms and integrations

11.2 User Obligations

Regardless of the deployment channel, you must:

  • Comply with this Policy and the Terms of Use.
  • Comply with the terms of use and policies of any third-party platform through which you access the Service.
  • Not exploit integration flows, APIs, or data exchange mechanisms to circumvent security controls or access restrictions.
  • Not use integrations to extract, scrape, or harvest data in violation of this Policy.

11.3 Third-Party Platform Responsibility

Doceree does not control and is not responsible for third-party platforms or integrations. Your use of third-party platforms is governed by their respective terms and policies.

13. ENFORCEMENT AND CONSEQUENCES

13.1 Monitoring and Review

Doceree may monitor, log, store, and review usage of the Service (including chat interactions and User Content) for security, compliance, audit, troubleshooting, service delivery, and product improvement purposes, in accordance with the RepTwin Privacy Policy. Doceree does not assume a duty to monitor all user activity but reserves the right to do so. Doceree further reserves the right, but not the obligation, to audit Customer deployments, configurations, knowledge bases, and content for compliance with this Policy, applicable law, and industry standards. Customers shall cooperate with any such audit upon reasonable notice from Doceree.

13.2 Investigation

Doceree may investigate suspected violations of this Policy. During an investigation, Doceree may:

  • Suspend or restrict your access to the Service.
  • Review your User Content and interaction data.
  • Cooperate with law enforcement or regulatory authorities as required by law or as Doceree reasonably believes necessary.

13.3 Enforcement Actions

If Doceree determines, in its sole discretion, that you have violated this Policy, Doceree may take one or more of the following actions:

  • Issue a warning.
  • Remove, disable, or restrict access to content that violates this Policy.
  • Suspend or terminate your access to the Service, with or without notice and without liability to the maximum extent permitted by law.
  • Report violations to law enforcement, regulatory authorities, or affected third parties.
  • Pursue legal remedies, including injunctive relief and damages.

13.4 No Waiver

Doceree's failure to enforce any provision of this Policy shall not constitute a waiver of that provision or any other provision.

13.5 Appeals Process

If Doceree takes enforcement action against you under this Policy, you may appeal the decision by submitting a written appeal to legal@doceree.com within thirty (30) days of receiving notice of the enforcement action. Your appeal must include:

  • Your name, contact information, and account identifier;
  • A description of the enforcement action being appealed;
  • The specific grounds for your appeal and any supporting information; and
  • Any documentation you believe supports your position.

Doceree will review appeals in good faith and provide a response within a reasonable timeframe, typically within thirty (30) days of receipt. Doceree's decision on appeal is final and binding. The filing of an appeal does not suspend or delay any enforcement action, and Doceree reserves the right to maintain any suspension, termination, or other restriction during the pendency of an appeal. Nothing in this Section creates any right to reinstatement or limits Doceree's discretion to take enforcement action under this Policy or the Terms of Use. Doceree may, in its sole discretion, decline to review appeals that are frivolous, repetitive, or fail to comply with the requirements set forth above. You waive any right to seek judicial review of Doceree's enforcement decisions or appeal determinations, and you agree that Doceree's decision shall be conclusive and not subject to further challenge or review by any court or tribunal.


14. UPDATES TO THIS POLICY

Doceree may update this Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this Policy.
  • Provide notice through the Site or by other appropriate means.

Your continued use of the Service after any changes to this Policy constitutes your acceptance of the updated Policy. We encourage you to review this Policy periodically.


15. IMPORTANT LEGAL NOTICES

15.1 No Medical Advice

This Policy does not constitute medical advice. Nothing in this Policy should be construed as medical guidance, diagnosis, or treatment recommendations.

15.2 No Duty to Monitor

Nothing in this Policy creates a duty for Doceree to monitor all user activity or content on the Service. Doceree reserves the right, but does not assume the obligation, to monitor, review, or remove content or suspend users at its discretion. Doceree shall not be liable for any failure to monitor, detect, remove, or take action with respect to any User Content, Outputs, or user activity, except to the extent prohibited by applicable law.

15.3 No Healthcare Reporting Obligation

Nothing in this Policy creates a healthcare reporting obligation for Doceree. Doceree is not a healthcare provider, pharmaceutical manufacturer, or covered entity under HIPAA (except to the extent expressly agreed in a separate written agreement). Users remain solely responsible for their own legal and professional reporting obligations.

15.4 Incorporation by Reference

This Policy is incorporated by reference into and forms part of the RepTwin Terms of Use. By using the Service, you agree to be bound by both this Policy and the Terms of Use.

15.5 Supplemental Nature

This Policy is supplemental to the Terms of Use and Privacy Policy. In the event of any conflict, the Terms of Use shall control, followed by the Privacy Policy, followed by this Policy. Any disputes arising out of or relating to this Policy shall be resolved in accordance with the dispute resolution provisions set forth in the Terms of Use, including the binding arbitration and class action waiver provisions contained therein.

15.6 International Users

This Policy is designed primarily for users in the United States. If you access the Service from outside the United States, you are responsible for compliance with local laws. Doceree may implement additional or modified terms for users in specific jurisdictions.

United Kingdom and European Economic Area Users: If you are located in the United Kingdom or EEA, the supplemental provisions in Section 21 of the RepTwin Privacy Policy apply to your use of the Service, including information about legal bases for processing, your additional rights under UK GDPR, international data transfers, and your right to lodge a complaint with the UK Information Commissioner's Office (ICO) or your local supervisory authority. Any disputes arising out of or relating to this Policy will be resolved in accordance with the dispute resolution provisions in the Terms of Use, including any jurisdiction-specific provisions applicable to the User.

By accessing the Service from outside the United States, you acknowledge that your personal information may be transferred to, stored, and processed in the United States, which may have different data protection laws than your country of residence. Such transfers are made pursuant to appropriate safeguards as described in the Privacy Policy.


16. DEFINITIONS

For purposes of this Policy, capitalized terms not otherwise defined herein have the meanings given to them in the Terms of Use. The following additional definitions apply:

  • "AI Features" means the artificial intelligence and machine learning technologies, including large language models (LLMs), used by Doceree to provide the Service.
  • "Customer" means the pharmaceutical company, agency, or other business entity that has contracted with Doceree to deploy RepTwin.
  • "MLR" means Medical, Legal, and Regulatory review processes.
  • "Outputs" means the text, audio, video, or other responses generated by the AI Features in response to User Content.
  • "PHI" means Protected Health Information as defined under the Health Insurance Portability and Accountability Act of 1996 ("HIPAA") and its implementing regulations, as amended from time to time.
  • "Service" means the RepTwin platform, Site, and all related features and services, as more fully defined in the Terms of Use.
  • "Safety Information" means information that could indicate potential adverse events, side effects, product quality complaints, medication errors, or other safety-related information, as described in Section 9.
  • "User Content" means any input, text, data, prompts, or other materials transmitted, uploaded, or submitted by you to the Service.
  • All other capitalized terms used in this Policy have the meanings given in the Terms of Use.
